Enabling edit and view form permissions

You can apply edit and view results permissions to an individual form to restrict access to the form. You apply the permissions to users and groups. Before you grant permissions, consider what the permissions allow a user to do. You can also generate a link to the form results that you can share with other users.

When a user without any other site level permissions is granted permission to edit the form, they can:

  • Access editing functionality in Jahia.
  • Access jContent>Forms>Create and modify forms.
  • Perform all actions associated with editor permissions, except modifying settings in the Permissions tab in Edit metadata.
  • Create a link to the form and share it with users who have permissions to view form results.

The user will not be able to see jContent>Forms>Form settings or View form results.

When a user without any other site level permissions is granted permission to view form results, they can:

  • Access results to a specific form through a link. All form results actions are supported.
  • If the user has access to multiple forms on the same site, they can click the Home button and browse other form result sets.

Apply edit and view results permissions

You can assign Can edit forms and Can view results permissions to users and groups.

To apply edit and view results permissions:

  1. Navigate to jContent>Forms>Create and modify forms and open a form for editing.
  2. In the Forms Builder, click Edit metadata. In the new pane, select the Permissions tab.

  3. To assign permissions, click Can edit form or Can view results. This example shows the Can edit form permission.

  4. To select which users can edit the form:
    1. Click Add users.
    2. In the Select users to edit form dialog, select users as shown in the example.

    3. Click OK. The user is added to the list of users who can edit the form.

  5. To select which groups can edit the form:
    1. Click Add groups.
    2. In the Select users to edit form dialog, select users.
    3. Click OK.
  6. Click Close and save your form.

Users who have edit and view results permission can now share the form with other users by sending them a link. The users who receive the link require the Can view forms permission.

Sharing forms results with other users

If you have permissions to view results for a form, you can share the form results with other users or groups. You can create a link that other users can user to view form results.

Note: The users or groups that you share the link with require the Can view forms permission to view the shared form.

To share access to forms results with other users:

  1. Navigate to jContent>Forms>View form results.

  2. In the Share column, do any of the following:
    • To give view access to another user, click the Add users button

      . In the Select users to view results dialog, start typing a user's name in the Search box. When the user name appears, select the check box beside the name and click OK.

    • To give view access to a group, click the Add groups button

      . In the Select groups to view results dialog, start typing a user's name in the Search box. When the group name appears, select the check box beside the name and click OK.
    • To create a link that you can send to other users, click the Link button

      . In the Share link dialog, click Copy. Then you can share the link by pasting it in your email.

  3. Close the View form results page.
